Frequently asked questions

What people ask before working with us. If yours isn’t here, the intake takes two minutes.

Working with us
What do you actually do? +

We build the operational systems growing businesses run on: CRM builds, integrations between the tools you already use, automations that take over manual admin, AI where it earns its place, and custom software when nothing off the shelf fits. Some clients need one build; others have us overhaul the whole stack.

What does an engagement look like? +

It starts with a call, then a map. Every build begins on paper: a map of how your business actually runs, where the time and money leak, and what closes the gap. From there we propose a scoped build with a clear price and timeline. You approve, we build, you watch it work before we hand it over.

How long does a build take? +

It depends on scope. A focused automation or integration can be live in a couple of weeks. A CRM overhaul or custom tool typically runs several weeks to a few months. Larger systems, like a full quoting engine or an AI operations suite, are phased, so pieces start working for you before the whole thing is done.

What does it cost? +

Builds are scoped and priced as projects, so you know the number before we start. As a reference point: one of our builds replaced $2,800 a year in software subscriptions by itself; others pay for themselves in recovered hours within months. On a call we can usually give you a realistic range quickly.

The fit
Who do you work with? +

Growing small and mid-sized businesses, roughly $500k to $30M in annual revenue, with a real team and momentum. Service businesses are our home turf: events and weddings, field and home services, studios, professional services. But systems problems rhyme across industries, so if your tools don’t talk to each other, we should talk.

Who are you NOT a fit for? +

Solo operators and freelancers, honestly. Off-the-shelf tools will serve you better and cost less at that stage. Same if you’re pre-revenue or still finding the business model. When that’s the case, we’ll say so on the first call and point you at what we’d use instead.

Do you only work with businesses in Southern California? +

No. Everything we build is cloud-based and we work with businesses everywhere. But we’re local to Los Angeles and Orange County, and for SoCal clients we’re happy to walk your operation in person. There’s no substitute for seeing how the work actually flows.

Your tools & data
Do we have to replace the tools we already use? +

Usually not. Our first move is making your existing stack work together: CRM, scheduling, invoicing, spreadsheets, all of it. We only replace a tool when it’s genuinely the bottleneck, and we only build custom when nothing off the shelf fits how you work.

What platforms do you know? +

Forty-plus and counting: Pipedrive, HubSpot, ClickUp, Connecteam, Airtable, Notion, QuickBooks, Gusto, Zapier, Make, n8n, Twilio, Cal.com, Dubsado, HoneyBook, PostgreSQL, Google Workspace, Supabase, Cloudflare, and more. If it has an API — or even if it doesn’t — we’ll connect it.

Who owns what you build? +

You do. The systems, the code, the data — they’re yours. We document what we build and hand it over so you’re never locked in. Most clients keep us around because the systems keep earning, not because they’re stuck.

What happens after launch? +

Nothing we build is fire-and-forget. Every system ships with documentation and a handover, and we offer ongoing support if you want it. Many clients come back to extend a system once they see it working. That’s the “grows with you” part.

AI, specifically
Is the AI stuff real or hype? +

Real, where it belongs. We’ve automated around 80% of a business’s admin with an AI operations suite: email triage, drafted replies, urgent alerts routed to the right person. But AI is a tool, not the goal: we find where it creates measurable value in your operation and build exactly that, nothing more.

How do you keep AI from making things up? +

We ground it in your data. Our AI systems answer from your business’s actual source of truth, are constrained to what they can see and do, and keep a human approval step wherever a mistake would matter. AI that can’t back up an answer doesn’t send it.
